Registered mail, 2026 edition
Sending a registered mail always means the same story: print the document, go to the post office, wait in line, pay between €5 and €10, then wait several days hoping the recipient collects it in time.
Today, e-Signature.eu puts an end to this with the launch of its electronic registered mail service. The concept is simple: you upload your documents, your recipient signs an electronic acknowledgement of receipt, and you have legally valid proof of receipt — all within minutes, from your computer.
The service is built on the European eIDAS regulation, the same legal framework governing electronic signatures across all 27 EU member states.
How it works
The process is designed to be as straightforward as possible:
✅ Result
You have a complete proof package: document protected by a qualified electronic timestamp (proof of date and integrity) + signed acknowledgement of receipt (proof of receipt and recipient identification). Everything is downloadable and verifiable at any time.
4 signature methods to choose from
You choose the level of identification required for the acknowledgement of receipt. Your recipient selects the method that suits them from those you allow — and you are only charged for the method actually used.
| Method | Type | Cost | Ideal for |
|---|---|---|---|
| OTP email | Simple Electronic Signature (SES) | 0.4 credit | Most everyday mailings |
| Veriff | Advanced Electronic Signature (AES) | 0.7 credit | Enhanced identity verification |
| itsme® | Qualified Electronic Signature (QES) | 1 credit | Mandatory formal identification |
| Evrotrust | Qualified Electronic Signature (QES) | 1 credit | International coverage (64 countries) |
💡 For the majority of use cases
The OTP email method (0.4 credit, i.e. €1.98 excl. VAT) is suitable for the vast majority of registered mailings: formal notices, contract terminations, payment reminders, disputes. Advanced or qualified methods are justified when the recipient’s formal identity must be unquestionable.
What can it be used for?
Electronic registered mail is designed for all professionals and individuals who need legally valid proof of receipt:
- ⚖️ Formal notices — instant proof of sending and receipt for your debt recovery
- 📄 Contract terminations — receipt date certified to the minute, zero risk of postal delay
- 🏠 Lease terminations — notice period compliance proven beyond dispute
- 📢 General meeting notices — simultaneous delivery to all shareholders in one click
- 💰 Payment reminders — legal milestones documented in your recovery process
- 📎 Contractual notifications — clause denunciation, amendments, general terms and conditions
- 🏥 Insurance claims — instant submission when every day counts
- 👥 HR communications — contract amendments, warnings, formal notifications
How much does it cost?
Electronic registered mail uses the same prepaid credit system as e-Signature.eu electronic signatures. No subscription, no commitment: you buy credits and use them as you go, for your signatures as well as your registered mailings.
💸 Quick comparison
| Postal registered mail | Electronic registered mail (OTP) | |

Frequently asked questions
Does electronic registered mail have the same legal value as postal registered mail?
Yes. Electronic registered mail is governed by the European eIDAS regulation (Articles 43 and 44), which gives it a legal presumption of integrity, identification of the parties, and accuracy of the date. This presumption is recognised across all 27 EU member states.
What happens if the recipient does not sign the acknowledgement of receipt?
The document is not transmitted and the procedure expires automatically after 15 days. You retain the proof of sending (qualified electronic timestamp). During these 15 days, 3 automatic reminders (every 4 days) are sent to the recipient.
Do I need new credits or a specific subscription?
No. Electronic registered mail uses the same prepaid credits as your electronic signatures. If you already have credits in your account, you can send a registered mail immediately.
Is postal registered mail still required in some cases?
Yes. Certain judicial or administrative procedures still require postal registered mail in some countries. It is also the only option if your recipient does not have an email address. If in doubt, you can opt for a dual sending (electronic + postal) for maximum coverage.
