This Privacy Policy explains what data is collected in connection with the e-Signature.eu service, on what legal bases, for what purposes, for how long, and what your rights are.<\/p><p>It applies to any person using the e-Signature.eu website, whether as the initiator of a signature request or as a signatory.<\/p><p><strong>Legal Bases and Purposes of Processing<\/strong> <br \/>Your personal data is processed on the following legal bases, in accordance with Regulation (EU) 2016\/679 (GDPR) :<\/p><ul><li>Performance of the contract : management of your account, processing of signature requests, billing and credit management ;<\/li><li>Legal obligation : retention of certain data required by applicable tax and accounting regulations ;<\/li><li>Legitimate interest : improvement of the service, fraud prevention, information security and anonymised audience measurement ;<\/li><li>Consent : sending of the newsletter, revocable at any time.<\/li><\/ul><p><strong>Data Collected<\/strong><\/p><p><em>Account data (initiator)<\/em><\/p><ul><li>First name, last name, email address<\/li><li>Billing details<\/li><li>Credit purchase history<\/li><\/ul><p><em>Signature request form<\/em><\/p><ul><li>Request title<\/li><li>Note to signatories<\/li><li>Per signatory : last name, first name, email address, phone number (optional)<\/li><li>Chosen language<\/li><li>File(s) to be signed<\/li><\/ul><p><em>Browsing data<\/em><\/p><ul><li>IP address, connection logs, cookie data<\/li><\/ul><p><em>Documents submitted for signature<\/em> As a technical intermediary, VisitOnWeb does not access the content of transmitted documents. These are processed in encrypted form and remain under the exclusive responsibility of the initiator.<\/p><p><strong>Retention Periods<\/strong><\/p><ul><li>Account data : for the entire duration of the contractual relationship, then 3 years after the last activity for evidential purposes ;<\/li><li>Billing data : 10 years in accordance with statutory accounting obligations ;<\/li><li>Connection logs : 12 months ;<\/li><li>Signed documents and associated certificates : 30 days after the date of signature, unless previously downloaded by the user. After this period, they are permanently deleted with no possibility of recovery ;<\/li><li>Newsletter data : until unsubscription.<\/li><\/ul><p><strong>Respective Roles in Data Protection<\/strong><\/p><p>In<strong> the context of the electronic signature service :<\/strong><\/p><ul><li>The initiator (the person who submits documents for signature) acts as data controller in respect of the personal data of the signatories they designate. It is their responsibility to inform the signatories of the use of the service and to obtain the necessary consents where applicable.<\/li><li>VisitOnWeb acts as a processor within the meaning of Article 28 of the GDPR, processing signatories&#8217; data on behalf of the initiator, solely for the purpose of performing the electronic signature service.<\/li><li>Trusted service providers (depending on the chosen signature method) act as independent data controllers for authentication and identity verification processes. Their own privacy policies apply to these processes.<\/li><\/ul><p><strong>Transfer of Personal Data<\/strong> <br \/>All technical service providers engaged by VisitOnWeb are established within the European Union or the European Economic Area. No transfer of personal data to third countries takes place in connection with the use of the service.<\/p><p><strong>Sub-processors and Technical Partners<\/strong><\/p><ul><li>Mollie : payment processing \u2013 <a href=\"https:\/\/www.mollie.com\/en\/privacy\">privacy policy<\/a><\/li><li>CloudConvert : file conversion during the preparation of signature requests \u2013 processing carried out exclusively on German infrastructure \u2013 <a class=\"underline underline underline-offset-2 decoration-1 decoration-current\/40 hover:decoration-current focus:decoration-current\" href=\"https:\/\/cloudconvert.com\/privacy\">privacy policy<\/a><\/li><li>eID Easy : technical partner for the execution of qualified electronic signatures<\/li><\/ul><p><strong>Cookies<br \/><\/strong>We only use cookies that are strictly necessary for the proper functioning of the website, in particular for session management and storing your preferences. No analytical or advertising cookies involving data transfers to third parties are used on this site.<\/p><p class=\"font-claude-response-body break-words whitespace-normal leading-[1.7]\">Login cookies last for two days. If you check &#8220;Remember Me&#8221;, this is extended to two weeks. Display preference cookies are kept for one year.
